Why You Need It #
When you share a client portal or deal room, knowing when someone opens it can be just as important as knowing what they view. A timely notification helps you recognize client interest and respond while their attention is still focused on your content.
For example, you can:
- Send a portal chat message offering assistance
- Check analytics to see which content they explored
- Identify when an existing client returns to the portal
- Respond quickly when a new client creates an account
Instead of repeatedly checking portal analytics, you will receive an email as soon as a visitor starts a portal session.
How It Works #
Portal Visit Notifications #
FuseBase sends an email notification to portal managers when a visitor opens any page in the portal.
A notification is triggered when the portal is accessed by:
- An anonymous visitor
- A user with the Client role
- A member who does not have access to the portal customizer
Visits from portal managers are excluded, so your own activity and your team’s management work will not create unnecessary notifications.
The notification is sent when a visitor starts a portal session. Navigating between pages during the same session does not trigger additional emails.
What the Notification Includes #
If the visitor is signed in, the email identifies them by their name or email address. Anonymous visitors are displayed as “Someone.”
The email also includes:
- The portal name
- The first page opened during the session
- A link to the page where the session started
- A link to the portal analytics
You can use Go to Portal to open the visitor’s entry page or Go to Analytics to review their activity in more detail.
New Client Account Notifications #
Portal managers can also be notified when a visitor creates a new client account through a portal using Email required access mode.
This notification is sent when an anonymous visitor enters their email address and creates a new account with the Client role. It is not sent when someone logs in to an existing account or creates an account after receiving a direct invitation from a portal manager.
The email includes:
- The portal name
- The new client’s email address
- A link to the portal
- A link to the portal analytics
Managing Notifications #
Portal visitor notifications are enabled by default. Each portal manager can control them from the email notification section in their personal settings.
Disable Allow notifications about portal visitors if you no longer want to receive these emails. This setting applies to both portal visit and new client account notifications.
