What this template supports

An internal hold list for the intake team and location front desks, prepared one business day before each appointment week. It embeds the open intake holds as a live database view with sample records.

  • Stats row of booked, complete and held
  • Files by intake state block
  • Embedded open intake holds table
  • Held files by item and age grid
  • Missing item definition list
  • Oldest hold danger callout and chase steps

How to use this template

  • List the held files

Check each first appointment one business day ahead and log every file that lacks a required item, with its location, missing item and age.

  • Name an owner and send the request

Give each hold one owner, send the request for the missing item and note any hold accepted as an administrative exception with its approver.

  • Filter the view and share inside the firm

Keep the page internal. If you copy it for another client, point the embedded view and every block at that client first.

Frequently asked questions

What counts as a held file?

A first appointment file that lacks a required intake item one business day before the appointment: the consent form, insurance card, referral document or emergency contact.

Why is an accepted exception not counted as cleared?

It stays in the count until the approver is recorded in the handoff brief, so the front desk can see which items were accepted and by whom.

What does Pre-appointment file hold list help me do?

A hold list of first appointment files still missing a required intake item, with age, owner and the exceptions accepted, so the oldest holds clear before the person arrives.

Who reads and maintains this page?

Alderpoint intake team and location front desks; prepared by the central intake coordinator one business day ahead. The regional intake lead reviews it.

Is this page shared with the client?

No. It is an internal page kept by the central intake coordinator. Used inside the firm only, after every held file shows a missing item, an age and an owner.

What do visitors see in the public link?

The public link opens the full page without sign-in. The embedded Intake holds, authorization queue and booking exceptions view and the live Dashboards blocks are separate items that need FuseBase sign-in and workspace access, so a visitor without access does not see their live records.
